Overview

This is an onsite position.

 

The Employee Relations Coordinator supports the departmental and organizational People function by coordinating employee relations activities and working closely with HR Business Partners and other relevant stakeholders. This position is actively involved in fostering an engaged and thriving workforce by ensuring accurate, timely and effective case management, personnel records management, policy and program application and coordination. This position acts as a liaison between HR, employees, leadership and other stakeholders and assists with documentation, investigations, reporting and coordination of employee relations and people experience matters.

Responsibilities

Employees Relations
* Provides first line general employee relations support and information by answering employee inquiries by ensuring timely and empathetic responses and by referring complex matters to the appropriate HR Business Partner or other stakeholders as needed.

* Coordinates and facilitates the grievance process by scheduling brief intake employee meetings to gain initial understanding of employee questions and build an initial employee relations case.

* Monitors the employee relations case management system and routes / assigns general employee relations inquiry cases to the appropriate HR Business Partner.

* Maintains multiple compliance reports (i.e.: expired certifications/RQI /Mandatory Module) and reaches out to leaders when an employee should be pulled from the floor and/or corrective action should be issued.

* Leads the process Reviews and develops policies, procedures, and practices regarding human resources related matters; Answers questions and provides information to employees and managers regarding the interpretation and explanation of human resources programs, policies, and procedures.

* Responds to unemployment benefit claims;

* Responds to subpoena requests in collaboration with the HR Business Partners, Employee Heath, the Legal team and other relevant stakeholders as needed.

 
HR Business Partner Support
* Follows up with HR Business Partners on "ethics" reporting line complaints for the completion of relevant investigations and findings reports and provides regular updates to the Compliance Department on progress.

* Maintain confidential records and documentation of employee relations cases, ensuring accurate and timely tracking of all issues.

* Assists HR Business Partners in updating the HRIS system of record and uploading corresponding documentation regarding disciplinary actions and certifications/licenses.

* Assists with exit interviews, compiling insights to inform People initiatives and enhance the colleague experience.

* Assists HRBP’s, Leave Analyst, Manager, employees and leaders as needed with employee leave & accommodation claims.

* May open employee leave and ADA claims in Service Now for HRBP’s and be a back up to Leave Analyst

 
Personnel Records & Compliance Administration
* Participates in Tracers and in accreditation surveys. which consist of and is not limited to, gathering employee files, requesting necessary documentation on employee files, and assisting HR Business Partners during meeting with the surveyors.

* Responsible for timely and accurate data entry of variety of information utilizing Lawson, Microsoft Excel/Word, Applicant Tracking System and other pertinent software in the Human Resource Department.

* This position serves as a full back up to the HR Specialist 1 and as such should be fully competent in all aspects of that role.

Project Management
* Support and coordinate HR related projects and initiatives to include but not limited to the areas of: employee relations, job descriptions, certification/licensure compliance, I-9 compliance, and development of reports.

* In coordination with the HRIS team, assist in development, testing and implementation of HRIS supported system upgrades.

* Participates in departmental and other related committees as required.

* Assists with NAH Succession planning initiatives; talent management projects and projects impacting the overall employee experience.
 
Employee Engagement
* In partnership with HR Business Partners and other relevant roles and stakeholders works to facilitate the employee engagement survey administration and follow up activities. Activities may include, but are not limited to, survey design, organizational alignment, results reporting, system troubleshooting, and working with leaders to develop action plans.
 
Training and Development
* Schedules leadership development series training and sends reminders to registered participants to ensure attendance

* Updates LMS with training information, roster details of attendance.

* Assists with NAH Leadership Development programs.
 
Reward and Recognition
* Participates in employee recognition programs, including the planning and execution of the Employee Recognition Banquets, Cultural Celebrations Committee events and other People experience events.

* May participate in targeted community events, job fairs, conferences and other activities to attract qualified candidates.

 
Compliance/Safety
* Responsible for reporting any safety related incident in a timely fashion through the Midas/RDE tool; attends all safety related training programs; performs work in a safe manner; monitors work environment for possible safety issues and ensures others are also performing work in a safe manner.

* Stays current and complies with state and federal regulations/statutes and company policies that impact the employees area of responsibility.

* If required for position, ensures all certifications and/or licenses are up-to-date and valid prior to expiration dates.

* Completes all company mandatory modules and required job specific training in the specified time frame.

Qualifications

Education
 
High School Diploma - Preferred

Bachelor’s degree in business, human resources, psychology, organizational development or related field - Required
 
Certification & Licensures
 
PHR or SPHR- Preferred
 
Experience
 
Demonstrated ability to works independently within established procedures associated with the specific job function.

1 year experience working in HR or related field - Required

3 - 5 years administrative experience – Required

Healthcare experience - Preferred
