The Residency Program Coordinator serves as the operational foundation of one or more graduate medical education (GME) residency trainingprograms. This position is responsible for the comprehensive administration of all program functions, including ACGME accreditation compliance,resident recruitment, onboarding, rotation (away and home) scheduling, evaluation coordination, and credentialing. Serving as the primary liaisonamong residents, faculty, program leadership, and institutional GME offices, the Coordinator ensures the program operates efficiently and in fullalignment with ACGME and Review Committee (RC) specialty-specific requirements.
Program Administration & Accreditation
* Manages all aspects of ACGME accreditation compliance, including preparation and submission of program information forms (PIF), annualprogram evaluations (APE), and self-study documents.
* Maintains current knowledge of ACGME program requirements, institutional requirements, and relevant Review Committee (RC) specialty-specific requirements.
* Monitors and tracks program citations, action plans, and accreditation status to ensure ongoing compliance.
* Coordinates and maintains documentation for all program accreditation activities through the ACGME Accreditation Data System (ADS).
* Maintains up-to-date knowledge of regulatory and compliance changes affecting GME programs.
* Participates in institutional GME committees and coordinator meetings as required.
Resident Affairs & Onboarding
* Coordinates all aspects of resident recruitment, including management of the Electronic Residency Application Service (ERAS) and NationalResident Matching Program (NRMP/Match), interview scheduling and management.
* Facilitates resident onboarding, orientation, and credentialing in coordination with the medical staff office and human resources.
* Maintains accurate and up-to-date resident records, including licensure, certifications, duty hours, evaluations, and training verification letters.
* Tracks resident certifications and licenses, ensuring renewals are completed prior to expiration dates.
Scheduling & Rotations
* Develops and manages resident rotation schedules, call schedules, and vacation/leave tracking.
* Coordinates away rotations and inter-institutional training agreements.
* Communicates scheduling changes to relevant departments, faculty, and residents in a timely manner.
Evaluations & Education
* Administers and monitors the evaluation process for residents, faculty, and program using the designated evaluation platform (e.g., MedHub,New Innovations, One45 or other).
* Primary interface with faculty to ensure evaluations are complete and meeting requirements.
* Coordinates Clinical Competency Committee (CCC) and Program Evaluation Committee (PEC) meetings, including preparation of materials,documentation of outcomes, and maintenance of records.
* Tracks resident milestone assessments and Individual Learning Plans (ILPs) in accordance with ACGME requirements.
* Supports Continuing Medical Education (CME) activities and didactic conference scheduling.
Meetings & Events
* Schedules, coordinates, and provides logistical support for program conferences, grand rounds, didactic sessions, graduation ceremonies, andother program events.
* Prepares agendas, records meeting minutes, and distributes materials as required.

* Assists in coordinating site visits and mock accreditation reviews.
* Manages resident spending and reimbursement for ongoing education and conferences.
Financial & Administrative Support
* Processes program-related expenditures, reimbursements, and purchase orders in accordance with institutional policies.
* Assists with budget tracking and reporting as directed by the Medical Education Manager.
* Maintains program files, databases, and correspondence in an organized and confidential manner.
Communication & Liaison
* Serves as a primary point of contact for residents, faculty, program director, department administration, and external organizations.
* Responds to inquiries regarding program policies, procedures, and requirements in a professional and timely manner.
* Maintains and updates program website, handbooks, and policy documents.
Compliance/Safety
* If required for position, ensures all certifications and/or licenses are up-to-date and valid prior to expiration dates.
* Completes all company mandatory modules and required job specific training in the specified time frame.
* Responsible for reporting any safety related incident in a timely fashion through the SER tool; attends all safety related training programs;performs work in a safe manner; monitors work environment for possible safety issues and ensures others are also performing work in a safemanner.
* Responsible for maintaining up-to-date knowledge of cybersecurity trends, developments, best practices and regulatory changes.
Education
Associates Degree- Required
Experience
* 1–2 years of administrative or program coordination experience, preferably in a healthcare or academic setting.
* Previous experience in graduate medical education (ACGME, AOA) - Preferred
* Two years of experience in hospital administrative role - Preferred
* Healthcare is a rapidly changing environment and technology is integrated into almost all aspects of patient care. Computers and other electronicdevices are utilized across the organization and throughout each department. Colleagues must have an understanding of computers, and competencein using computers and basic software programs.
